Helbling is representing a repeat client, a New York City real estate developer, in conducting an executive search to secure a Vice President of Design & Construction (VP). Reporting to the Senior Vice President, Design & Construction, the VP has broad responsibilities from the inception of projects to the execution of construction activities in the field. Responsibilities are varied and include new business development, client relations, and management of multiple projects simultaneously.

Responsibilities include:

  • Oversees the creation and maintenance of a consistent set of monthly, quarterly, and annual project reports.
  • Assists in mentoring and uplifting the project controls skill set of the design & construction managers.
  • Partners with the project managers and development managers to assist in the planning and delivery of the development projects in the region.
  • Drives the commercial and change management aspect of projects to ensure that value for money is maximized and that projects costs are forecasted, captured, and reported appropriately.
  • Drives the standardization and use of online cost management software for all. Sets up and monitors the cost control system to ensure and track original budgets and estimates; monitors contracts and change orders; tracks load draws; flags cost variances; records and controls invoices and amounts paid-to-date; and projects final anticipated costs.
  • Implements and monitors standardized control systems for cost estimates, budgets, schedule, contractor draws, change orders, quality control, value engineering, progress reports, and variance analyses.
  • Actively participates with project managers to develop procurement strategies and assists in evaluating consultants, contractors, subcontractors, and suppliers.
  • Assists in the rolling capital plan budgeting, scheduling, and forecasting.
  • Ensures that there is visibility on cost and schedule risk in the delivery of projects and participates in risk mitigation strategies.
  • Assists in the management of financial functions including profit & loss accounting reports, project financial reviews, balance sheet accounting, preparation of reporting documents, insurance management, risk management, financial forecast analysis, and accounts payable/accounts receivable oversight.
  • Responsible for monitoring and ensuring that time schedules are accurate and met; performance is within approved budgets; all changes of scope are reflected in revised budgets; and quality control standards are established and met.
  • Understands regional and local market parameters. Generates and tracks cost benchmarking information. Analyzes historical data for use in maintaining a realistic basis for future construction planning and forecasting.
  • Seeks and develops new business initiatives.
  • Works with Development Management and Finance in responding to RFPs and preparing marketing materials.
  • Works closely with Senior Vice President and other senior managers to establish policies, procedures, and best practices for managing the design and construction process.
  • Provides input to the origination of development, construction, and design concepts during pre-development stages for prospective projects.
  • Establishes strong working relationships as both a leader in the internal organization and as the primary interface with external entities. Directs and coordinates the activities of and communication between internal staff, construction management consultants, architectural and engineering disciplines, general contractor(s) and construction trades, municipal officials, financial institutions and all others necessary for the implementation of the design and construction of the project (“the Project Team”). Interfaces with the Project Team for the implementation of the design and construction of the project.
  • Oversees the preparation and review of construction documentation in conjunction with development, investment, legal, financial and accounting staff, including design documents, contractor/subcontractor agreements, change orders, and construction draws.
  • Monitors project construction activities relating to scheduling, quality, costs, design and construction methodology as well as assists in the selection and recommendation of trades and purchase of major building materials/components through the Construction Manager.
  • Provides strategic leadership and oversight, and specialized assistance for the resolution of difficult and complex project construction problems. Anticipates project challenges and ensures timely reporting to executive management.
  • Works closely with the state and local authorities to process approval of controlled inspections, permit amendments, and other requirements necessary to secure the Certificate of Occupancy.
  • Continuously monitors for ways to enhance and streamline processes and presents innovative ideas for continuous improvement to the Design & Construction Group and the company as a whole.
  • Ensures compliance with all policies and procedure including business conduct and fiscal rules established by the company and federal, state, and local codes.
  • Interfaces with tenants and their professional consultants to ensure that tenant finish work is completed on-time, on-budget, and in a quality manner.
  • Engenders Staff Development:
    • Creates and monitors personal development plans and performance objectives and conducts performance reviews for direct reports.
    • Trains and motivates staff to achieve goals and objectives in accordance with the strategy of the company.
    • Ensures employees are provided necessary resources, training, and direction to achieve designated objectives.
    • Promotes establishment of expectations and accountability to ensure achievement of objectives and foster team building.
  • Establishes and maintains relationships with clients, tenants, consultants, contractors, and city officials. Builds solid business partnerships to further the business interests of the company.
  • Identifies, evaluates, and disseminates new construction technologies and best practices.
  • Bachelor’s Degree required. (Preferred field of education:  Engineering, Construction Management, Architecture or Business).
  • Graduate degree in Architecture, Engineering, Construction Management, or MBA desirable.
  • Fifteen (15) plus years of significant achievement as a successful construction manager of substantial projects including exposure to the business aspects of the real estate development process.
  • Minimum project size experience of $25M with the ability to supervise multiple projects simultaneously.
  • Strong ability to create, implement, and monitor all construction schedules and control systems, policies, procedures, systems, and standards.
  • Must possess strong business acumen, the ability to drive results through others, and strong analytical and negotiation skills with a bottom-line profit orientation.
  • Excellent oral and written communication skills.
  • Excellent interpersonal relationships with specific on-site construction experience.
  • A driven, motivated, and team-oriented attitude.
  • Excellent computer skills are a must. Computer software knowledge in relevant operations software such as Word, Excel, Outlook, PowerPoint, Microsoft Project, etc.
  • Knowledge in Project Management software systems such as Skire Unifier, Prolog, Timberline, Primavera P3 Project Planner, and SureTrak Project Manager is desirable.
  • OSHA 10 Hour Certified.
  • LEED experience required, LEED certification desirable.

Ideal candidates will have broad expertise in all aspects of project management (budgeting, scheduling, risk management) as well as design and construction. He/she knows both the national, regional, and local consultant/construction/contractor/subcontractor markets. He/she knows not only how to effectively manage cost, schedule and risk on development projects, but also how to put a building together from both a real estate development and technical perspective – from predevelopment/concept and schematic design to design development/ construction documents to procurement and construction. He/she serves as the regional "in-house" expert as it relates to pro forma underwriting, budgeting, scheduling, team selection, design management, logistics, procurement of services and contracting, estimating and value engineering, project cost management, risk management, and quality control. Focus is on setting up a robust project controls structure and actively managing the system to help deliver a quality work product, on schedule, and within budget.

This position requires a strong ability to negotiate major construction and design consultant contracts and proven ability in creating and maintaining strong team relationships, both regarding the internal project teams and external architect/consultant/contractor project teams. A major role includes developing and mentoring less experienced talent into the next generation of project managers.
